1. Call to Order
The meeting was called to order at approximately 6:00 PM. Opening remarks were provided, including an overview of the agenda and encouragement for homeowner participation and involvement.
2. Board Members Present

Residents were encouraged to volunteer for board positions or committees.
3. Financial Report
- Financials were presented and are available on the HOA website.
- HOA dues remain approximately $100 annually.
- Collection rate reached approximately 99%+ participation.
- Major expense: landscaping and maintenance of entrances.
- Additional expenses included:
- Security measures (approx. $3,000 for patrols related to a rental disturbance)
- Entrance improvements and camera installation
Transparency emphasized; homeowners encouraged to review reports online.
4. Community Updates
Security Enhancements
- Cameras installed at all three entrances (pending full activation due to power/internet setup).
- Cameras intended to improve monitoring and accountability.
- Discussion of potential future upgrade to license plate readers.
Maintenance & Improvements
- Back entrance upgraded with new structures and landscaping.
- Two street signs replaced (one required replacement after removal).
- Entrance landscaping and lighting improvements completed.
McClellan Place Discussion
- Adjacent neighborhood currently lacks active HOA.
- Board exploring possibility of allowing McClellan Place residents to join Wyndchase HOA.
- Would require:
- Adoption of unified covenants
- Legal process and homeowner approval
5. Covenants & Architectural Review
- Neighborhood currently has 17 different covenant sections, leading to inconsistencies.
- Proposal to create one unified set of covenants for Wyndchase.
- Would require approximately 80% approval per section.
- Existing non-compliant items would likely be grandfathered.
Architectural Review Board Reminder
- Homeowners must submit requests for exterior changes. The form is on our website. Wyndchasehoa.org
- Improvements beyond current standards may be approved if they enhance the neighborhood.
- Failure to submit may result in required corrections.
6. Open Forum / Homeowner Questions
Noise Complaint Discussion
- Complaints should first be politely addressed with your neighbor.
- If a polite conversation does not resolve the noise, then it is a police matter.
- Reminder: HOA does not enforce noise ordinances.
Road Conditions
- Roads rated by city as moderate condition.
- City prioritizes repairs based on:
- Budget availability
- Volume of complaints
- Residents encouraged to report issues to the city.
Mailbox Maintenance
- Previous rotation program discontinued due to lack of vendors.
- Researching alternative vendors.
- Homeowners responsible for maintaining mailbox standards.
Drainage Issues
- City responsible for limited portion of drainage systems.
- Homeowners responsible for drainage beyond initial section from road.
Neighborhood Concerns
- Trash bins left out beyond allowed time
- Lawn maintenance inconsistencies
- Ding Dong Ditch disturbances (recommended to contact police)
7. Winter Weather Discussion
- HOA does not plow roads due to:
- High cost (estimated $15,000+)
- Liability concerns
- Possible future option:
- Ice melt at entrances using volunteers or local help
8. Community Engagement
- Upcoming events discussed:
- SPRING Yard Sale (First Saturday in May)
- FALL Yard Sale (Third Saturday in October)
- 4th of July Parade, water slides, and fireworks
- Halloween is on a Saturday – We will have a Parade. Anyone willing to help plan this please contact Karen Skelton 731-616-1640.
- Suggestion for voluntary neighborhood directory (requires resident participation).
